With minimum direction, the Administrative Assistant handles all administrative duties for the Chief Programming Officer & EVP and lends support as needed to other assistants.
Responsibilities

Draft and edit correspondence, memos, reports, and presentations; ensure accuracy and consistency through proofreading and copyediting.

Schedule and maintain calendars, appointments, meetings, and travel itineraries; anticipate changes and prepare meeting materials, charts, and other required documents.

Handle incoming calls and greet visitors with professionalism; respond to inquiries and refer them appropriately.

Serve as liaison between the Chief Programming Officer & EVP and internal teams, external stakeholders, and direct reports. Partner with other areas to ensure smooth communication and operational alignment.

Distribute timely updates and information across the organization regarding programs and initiatives.

Coordinate and track documentation requiring approval, including attendance sheets, travel, and expense reports; follow up with team members to ensure timely completion.

Conduct research on media and entertainment industry topics to support programming and strategic initiatives.

Maintain and update daily/weekly/monthly documents, including agendas, program status reports, event trackers, calendars, charts, and databases. Take minutes and track follow-up items when needed.

Provide logistical support for programs and events, including on-site assistance.

Maintain an organized filing system (digital and physical) for easy access to key documents and records.

Manage projects using collaboration tools such as Airtable.

Assist and support special projects and perform other duties as assigned.
